Communication Protocol

Communication Protocol – Restauration Friends Association

Purpose:
This protocol is intended to ensure that all external communication is conducted in a coordinated, respectful, and accurate manner — for the benefit of the entire project and everyone who has contributed.


1. Media Contact and Interviews

- All contact with the media (interviews, articles, statements, press invitations) must be pre-approved by the designated media contact person in the Friends Association.

- The designated media contact is the Chair of the Board, the Project Manager for the voyage, or the Captain during the voyage. Alternatively, two board members may jointly approve if the others are unavailable.


2. The media contact person may delegate or coordinate with others as needed but retains overall responsibility.


3. Public Publishing (articles, blog posts, videos, and podcasts)

- Members and participants must not publish their own articles, videos, or similar materials in the media or on public platforms without consulting the board/media contact.

- Personal reflections and photos may be shared on private channels (such as social media), as long as they are respectful, balanced, and do not give the impression of representing the project as a whole.


4. Respect for the Community

- All statements and publications must acknowledge that this is a joint project with many contributors. The story should be comprehensive and inclusive.

- It is not permitted to highlight individual roles in a way that diminishes others’ contributions or presents a distorted view of the project.


5. Breach of Protocol

- Serious or repeated violations of this communication protocol may lead to sanctions, including termination of membership, if in accordance with the association’s bylaws.

- Suspected breaches will be reviewed by the board.


6. Validity and Revisions

- This protocol is effective once approved by the board and may be revised as needed.


The goal is not to limit enthusiasm, but to protect what the Friends Association has built together — and to ensure that our shared story is told accurately, comprehensively, and inclusively.
